Terms and Conditions
When you book a holiday with Eastern Approaches, we ask you to read and agree to the full booking conditions. Here are some key points to note:
Your protection
The tour is operated by Eastern Approaches with all arrangements made by Warwick Ball at Eastern Approaches, with whom any grievances are to be handled. Eastern Approaches holds ATOL No 9445 issued by the Civil Aviation Authority, which provides for your protection in the event of our insolvency.
Liability and our contract with you
No firm booking contract is deemed to exist between you and Eastern Approaches until we have received the booking form properly completed, and have confirmed the booking to you in writing.
Eastern Approaches will exercise proper care in making your holiday arrangements and we accept responsibility to you or any member of your party for any loss, delay, inconvenience, disappointment, fatal or other injury or illness which you may suffer caused by our failure to exercise such care. Furthermore, we accept responsibility for the acts or omissions of persons involved in your holiday arrangements who are employed by us or engaged as our agents and suppliers. Our liability for any claims in relation to the holiday shall not exceed the amount of 3 times the costs of travel arrangements. Our quotations, information and timetables are compiled in good faith, and are based on current schedules, tariffs, exchange rates and advance information at the time of publication.
Eastern Approaches tours travel to unique places in unusual destinations. It is often the case that the tourist infrastructure is very undeveloped and there are limited facilities. We strive to offer the best facilities available and we make all efforts to inform you of the local conditions in good faith. However, it is important that you consider the standards and conditions you can reasonably expect before you book your holiday.
Prices and payment
All prices are in GBP. Please note that we are only able to accept payments in sterling.
Single rooms
Hotel pricing makes single occupancy more expensive, particularly as most hotels now put singles into double rooms, hence a Single Supplement is payable. The single supplement we charge is the basic hotel charge with no extra. If on booking you express a wish to share, we will try our best to match you with someone of the same gender. If, however, there is no suitable match, the single supplement will apply.
Cancellations
If you have to cancel your booking on a tour, there are cancellation charges that vary according to the period of notice you give. If you cancel more than 70 days before departure the deposit only is forfeited. Nearer departure the following charges apply:
56-69 days: 30% of total tour cost
29-55 days: 60% of total tour cost
15-28 days: 90% of total tour cost
Less than 14 days: 100% of total tour cost
Insurance
Before travelling you must have travel insurance to cover such things as medical treatment, repatriation, loss of property and cancellation charges.
Health requirements
We are unable to offer any health advice but urge you to check with your doctor before travelling. There is good general health advice and information for travellers to be found on the UK Government Foreign & Commonwealth Office website.
We do our best to indicate the level of physical activity required, for example if paths are poor, or if a long walk or climb is necessary. However, it is the personal responsibility of the traveller to ensure that they are sufficiently fit. Please note that it is advisable that you ensure that you are able to carry your own luggage.
Passport and visas
You will be informed of the necessary documentation needed for the specific tour on which you have booked and we will advise you on any visa requirements. For destinations requiring a group visa, (normally ex- Soviet Union countries) you are requested to make sure that your passport can be available for at least 8 weeks before your date of travel. It is good practice to make sure that your passport is valid for at least 6 months before you are going to travel and that you have at least 2 consecutive blank pages.
Safety and Security
If the UK Government Foreign & Commonwealth Office advise against travel to a particular destination, insurance is generally rendered invalid and we may have to postpone, re-route or cancel the tour. In the event of cancellation before the tour commenced, we would give you a full refund.
Privacy
The personal information that you supply on booking will only be shared with the appropriate bodies as necessary and to enable us to offer you the best service. Any credit and debit card transactions are handled using secure systems provided by our bank. Your contact details will only be divulged to a third party after we have requested your permission.
Further information about your tour
Once we have received your booking, we confirm your booking in writing and send you a booklet of Practical Information with further details about the tour and suggested preparations for it. We then provide a two week cooling-off period and your deposit will be returned in full if you cancel within 14 days of receipt of the confirmation.
